ASHGATE LOTTERY PRIVACY NOTICE
We care about your personal information and it’s important that you know how and why we use it and how we keep it safe.
The Ashgate Lottery is run by Ashgate Hospicecare, an independent registered charity that provides care to patients across North Derbyshire at the hospice and in the community. The hospice has a 21-bed Inpatient Unit, 16-place day hospice and provides a range of therapy and support services on site. The hospice also provides a wide range of community-based care and support services to enable people to stay in their own homes for as long as possible.
All services are provided free of charge to patients and their families which is mainly funded through donations, gifts in Wills and income raised through our sixteen shops and three coffee shops. Patients with any life limiting illness can access Ashgate Hospicecare’s specialist services via a referral, normally through their GP.

What type of information we have
We collect and hold information from donors and supporters to help us make better decisions about how we raise and spend funds. As a registered charity, the hospice relies largely on the people living in its local community for support – both financially and in kind. Our weekly Lottery is another way in which people may choose to support us.
We automatically collect technical data from visitors to our website to ensure that content from our website is presented in the most effective manner for you and for your computer.
In order to play the Lottery, we will collect your name and your contact details. We will also ask for your date of birth, to verify your eligibility to play our Lottery as it is an age restricted activity (lottery players must be over 16). If you pay for your Lottery number(s) via Direct Debit we will also collect your bank account details. If you pay using a debit card we will collect your debit card details (these are used for the single transaction only and are destroyed immediately after use).
How we get the information and why we have it
All personal information we process as part of the Ashgate Lottery is provided to us directly by you. This information was collected when you joined the Ashgate Lottery, whether through the post, over the telephone, online or face to face. We collect this information to administer the lottery draws.
Under the Data Protection Act, the lawful basis we rely on for processing this information is that we have obtained your consent. You are able to remove your consent at any time. You can do this by contacting us using the details above.
What we do with the information we have
We use the information you have provided to us to administer the Ashgate Lottery weekly draw, collect payments and award prizes.
On occasion, we may work with a third party who will contact you on our behalf. All third parties are required to sign our Data Processing Agreement which ensures that your personal data will not be shared further, sold, or kept after contact has been made.
We will never sell any information about you.
We will contact you if we have a legitimate interest to contact you e.g. for volunteering purposes or for direct marketing purposes. Please be assured, we will only use ‘legitimate interests’ where you have expressed an interest to volunteer or take part in an event, or have taken part in an event previously. For all other direct marketing purposes, we will only contact you if you have provided us with valid consent.
How we store your information
We will keep your information for as long as you continue to play the Ashgate Lottery. If you leave the Lottery, we have a statutory duty to keep records of financial transactions for a period of 6 years; after this point any personal information about you will be securely destroyed. This is in line with the schedules set out in the NHS Records Management Code of Practice for Health and Social Care 2016 and our Hospice policy.
Your data protection rights
You have the right to refuse or withdraw consent to information sharing at any time by using the contact details above. If there are any consequences to withdrawing consent these will be fully explained and discussed with you first.

How to complain
Ashgate Hospicecare aim to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring concerns to our attention and we also welcome suggestions for improving our procedures.
